Fall can be a strange time for golf cart dealerships.

They may begin slowing down after the summer rush, but that doesn’t mean the work stops. Dealers may still be moving aging inventory, preparing for new-model-year carts, completing custom builds, and helping customers prepare their carts for winter storage, especially in colder climates.

Then the first cold snap hits, and the gradual transition can quickly become a last-minute rush.

Of course, winter looks different depending on where your dealership is located. Some customers will store their carts for several months, while others will continue driving them throughout the season. Gas, lead-acid battery, and lithium battery carts also have different service and storage needs.

Regardless of your market, a little planning can help your service department stay organized and make the most of seasonal demand.

Here are our top seven tips for managing the rush without overwhelming your team.

1. Start early. 

Dealerships that begin preparing while they’re still busy are already a step ahead of the competition. Review last year’s service activity, identify likely demand and start promoting seasonal maintenance before appointments fill up. If you haven’t begun preparing, now’s the time. 

2. Identify customers who may need seasonal service. 

Use your golf cart dealer management system (DMS) to review customer records, service history, cart information and previous recommendations. This can help you identify customers who may need battery service, routine maintenance, or winter storage prep. Most customers will appreciate the proactive reminder. 

3. Schedule work around your available capacity. 

Use your service calendar and work orders to organize appointments, assign technicians, and avoid overbooking. Spreading out your schedule just before and during the last-minute rush helps you maximize technician availability and keeps carts moving efficiently through the shop. 

4. Create templates for consistent seasonal work orders. 

Your customers’ needs will vary based on whether they own a gas, lead-acid battery, or lithium battery cart. Create separate work-order templates or service packages for each type. Bundle the appropriate parts and labor into flat-rate packages to speed up the work-order process and give customers a clearer idea of what the service includes. 

PRO TIP: Throughout the year, have your team document requested services, customer instructions, battery information, installed accessories, and additional maintenance recommendations in the customer or cart record. That information can be invaluable as your service advisors build more accurate work orders in the future.

5. Prepare parts and supplies in advance. 

Use your DMS to review seasonal service trends and determine which parts and supplies you used most during the same period last year. 

Depending on the carts you service, that might include batteries, cables, terminal-cleaning products, distilled water, fuel stabilizer, oil, filters, spark plugs, tires, and other routine maintenance items. Because storage procedures vary by cart and battery type, make sure your service packages follow the appropriate manufacturer recommendations.

Having commonly needed items on hand helps prevent delays, increase throughput and move more jobs through your shop more efficiently.

6. Keep customers informed. 

Send appointment reminders, answer questions, request approvals, share status updates, and payment links through embedded text messaging within your DMS. Fast approvals help prevent work orders from stalling, while clear and consistent communication gives customers confidence that their carts are in good hands.

An informed customer is a happy customer.

7. Document completed work. 

Record the services performed, products and parts used, battery condition, state of charge where appropriate, tire condition, customer approvals, and technician notes in the cart’s service history. This creates a reliable record for future visits, helps your team make better recommendations, and protects the dealership if questions arise about what was or wasn’t completed.

Seasonal service doesn’t have to feel like a mad scramble. With the right processes and dealer management system, your team can stay ahead of demand, keep customers informed, and complete more work without sacrificing quality.

The season may be winding down, but your service department still has plenty of opportunities to wind up.
